Our online classes are designed to be interactive, engaging, and accessible for students of all ages and levels. This policy is here to guide us in creating a respectful and productive learning environment.
1. Our Community Guidelines
1.1. Respect and Kindness:
At Areeb Academy, respect is at the heart of all our interactions. Please treat everyone with kindness, understanding, and respect, whether they’re your peers, tutors, or administrative staff. We have zero tolerance for bullying, harassment, or discriminatory behavior.
1.2. Be Punctual and Prepared:
Your punctuality shows your dedication and respect for others’ time. Try to be on time for all classes, and let us know if you might be late or unable to attend.
1.3. Engage and Participate:
Learning is most effective when you are active! We encourage you to participate in discussions, complete your assignments promptly, and be curious—ask lots of questions!
1.4. Staying Connected
1.4.1. Regular Checks:
Please check your emails and our learning platform regularly for any updates or messages from your tutors.
1.4.2. Open Communication:
If you have any questions or need help, don’t hesitate to reach out. We’re here to support your educational journey, and we expect you to communicate respectfully and respond to messages in a timely manner.
1.5. Technical Setup
1.5.1 Required Equipment:
Make sure you have a stable internet connection and the necessary devices (like a computer or tablet with a webcam and headphones) to engage fully in our online classes.
1.5.2. Familiarity with Tools:
Get comfortable with the digital tools and platforms we use. If you face any technical issues, our support team is ready to assist you.
1.6. Evaluation and Feedback
1.6.1. Understanding Grading:
We’ll explain the grading system for each course at the start. If you ever have questions about your grades or feedback, just speak to your tutor.
1.6.2. Constructive Feedback:
Feedback is a tool for growth. You’ll receive regular, constructive feedback to help you progress and improve.
2. Payment and Refund Policy
2.1. Payment Policy
2.1.1. Fees:
Course fees are due at the time of registration. You can pay via our secure online payment system, which accepts major credit cards and other electronic payment methods.
2.1.2. Installments:
For some of our courses, we offer the option to pay in installments. Details about installment plans are available during the registration process.
2.1.3. Receipts:
Upon payment, you will receive an email confirmation and a receipt for your records. Please keep this for future reference.
2.2. Refund Policy
2.2.1 Trial Class:
We offer a free trial class for new students to ensure our courses meet your expectations. If you decide not to continue, there is no obligation to pay.
2.2.2. Withdrawal Before Course Start:
If you withdraw from a course before it begins, you are entitled to a full refund. Please notify us at least 48 hours before the course starts to qualify for this refund.
2.2.3. Withdrawal After Course Start:
Within the first week: If you withdraw within the first week of the course, you are eligible for a 75% refund of the course fees.
After the first week: No refunds will be provided after the first week of the course.
Non-attendance: Failure to attend classes does not constitute a withdrawal, and no refunds will be given in such cases unless previously arranged with the administration.
2.2.4. Course Cancellation by Areeb Academy:
In the unlikely event that Areeb Academy must cancel a course, students will be offered a full refund or the option to transfer to another course of equal value.
2.2.5. Exceptions:
Special circumstances that prevent continued participation, such as medical issues, may be considered for exceptions to our refund policy on a case-by-case basis. Supporting documentation will be required.
2.2.6. Processing Refunds:
Refunds are processed using the original method of payment and will be issued within 2 days of approval.
3. Attendance and Class Cancellation Policy
At Areeb Academy, regular attendance is vital for student success and progression in our courses. We understand that occasional absences may occur, and we aim to make our policies as clear and accommodating as possible to support our students and their families.
3.1. Scheduled Class Attendance
- Expectation: Students are expected to attend all scheduled classes as consistent attendance is crucial for effective learning and continuity.
- Reporting Absences: If a student cannot attend a scheduled class, parents or students (if of appropriate age) are required to notify the academy at least 24 hours in advance.
3.2. Cancellation by Students/Parents
- Notice Period: To cancel a class without penalty, notice must be given at least 6 hours before the scheduled time. This allows us to adjust our scheduling and allocate resources efficiently.
- Late Cancellations: Cancellations made less than 6 hours before the scheduled class may not be eligible for a make-up class, except in cases of illness or emergency, which must be communicated as soon as possible.
3.3. No-Show Policy
- Definition: A no-show is defined as not attending a class without prior notification.
- Consequence: No-shows may be recorded on the student’s record and can affect their overall performance evaluation. Repeated no-shows may lead to a review of the student’s enrollment in the course.
- Additional Note: If a student fails to show up within 15 minutes of the class start time without prior notice, and the teacher has waited, the session will be counted as attended for administrative purposes.
3.4. Cancellation by Areeb Academy
- Instructor Availability: If a class must be canceled due to instructor unavailability or other unforeseen circumstances, we will notify students and parents at the earliest possible time.
- Rescheduling: We will make every effort to reschedule the canceled class at a convenient time. If rescheduling is not possible, we will offer a suitable alternative or a refund for the class.
3.5. Make-Up Classes
- Eligibility: Students are eligible for a make-up class if they have provided timely cancellation notice or in cases where Areeb Academy cancels a class.
- Scheduling Make-Up Classes: Make-up classes can be scheduled based on instructor availability and will be coordinated directly with the student or parent.
3.6. Cancelled Class Refunds
- Policy: Refunds for canceled classes are not typically provided, except in exceptional circumstances or if a class is canceled by Areeb Academy and cannot be rescheduled.
